How to collect RSVPs without losing track of your guests

Set a useful deadline, handle household invitations and turn replies into a headcount you can plan around.

Decide what one invitation includes

An invitation is a request to a person or household; it is not automatically a single seat. Before sending anything, decide who is included and the largest party size you can accommodate for that invitation. A clear allowance avoids an awkward conversation later.

Address invitations with enough detail to remove ambiguity. If the invitation is for two named adults, say so. If children are welcome, make that clear too. A guest should not have to infer whether their family is included.

We would love to welcome you and your family. Your invitation includes up to four people. Please let us know how many of you can join us.

Work backwards from the headcount deadline

Ask the venue or caterer when they need a final number, then set the RSVP deadline earlier. Leave enough time for a personal reminder and for any seating or catering adjustments. There is no single deadline that works for every occasion.

Put the date beside the response instructions. If your invitation includes several gatherings, explain which gathering the response covers; do not assume one reply answers for an entire weekend.

Separate replies from expected people

Track accepted, declined and unanswered invitations separately. Then track the number of people included in each accepted response. Six accepted invitations could mean six people, twelve people or another total entirely.

When a guest changes their answer, update the existing record. Creating a second invitation for the same household makes it harder to see which reply is current. In Magenda, guests can respond and update their response until the response deadline from their personal invitation link, without creating an account.

  • Count invitations and attending people separately.
  • Check for duplicate households before sending links.
  • Keep unanswered guests visible until they reply.
  • Recheck the headcount after response changes.

Send a specific, considerate reminder

Follow up individually with people who have not replied. Include the event name, deadline and their invitation link so they do not need to find the original message. A short message usually works better than a long explanation.

A missing reply is not necessarily a lack of interest. A guest may need to check transport, work or family arrangements. Give them a clear way to decline as well as accept.

Hello! We’re confirming the numbers for our gathering. Could you let us know by Thursday whether you can join us? Here is your personal invitation link again. Thank you!
