Decide what people should leave with
A conference programme is easier to shape when you can name its purpose. Are people learning a skill, sharing work, meeting collaborators or making a decision? Use that answer to choose the audience, format and sessions.
Set an attendance target that matches the room and the experience. A discussion-led day may need smaller groups and more facilitators than a series of talks. Make sure the format works for the people you intend to invite.
Build a programme people can follow
Start with arrival, opening, core sessions and a clear finish. Then add transitions, breaks and enough time for questions. Do not fill every available minute: finding a room, testing a microphone and moving a group all take time.
Confirm session titles, speaker names and the expected format before publishing the agenda. Give speakers their allotted time and a contact for practical questions. A programme for attendees should be easy to scan; the organising team may need a separate detailed running order.
- State the start time and the arrival window separately.
- Include room names and breaks in the programme.
- Confirm speaker requirements and presentation formats.
- Assign an owner to each session transition.
Make participation expectations explicit
Explain who the day is for, what is included and whether attendees need to prepare or bring anything. Include the venue address, travel information and a way to discuss access requirements privately.
For an invitation-only event, decide whether invitations can be forwarded. Personal links help you keep track of the invited person or group, but the link itself should still be shared carefully.
Rehearse the practical handoffs
Test the room’s sound, screen, internet connection and power before the first session. Keep a copy of presentation materials where the person running the room can access them. Confirm who welcomes attendees and who resolves a technical interruption.
Make a simple plan for a delayed speaker or a session that finishes early. Share it with the people running the day so an unexpected change does not become several conflicting instructions.
Match the platform to the event’s complexity
A small invited gathering and a large ticketed conference need different systems. List requirements such as payments, registration forms, multiple tracks, badges or a virtual stream before selecting a platform. Test the essential workflow with a sample attendee.
Magenda offers private invitations, RSVP tracking and a shared programme, with up to ten invitee records on Basic. Full events add planning, team access, check-in, announcements, guest activities and a presentation screen. Ticket sales, public registration and streaming are not included; use the comparison guides when your event needs those capabilities.
