A practical way to plan your event budget

Separate estimates from confirmed costs, keep payment dates visible and make room for changes before they happen.

Start with a total and three priorities

Agree on the total you are comfortable spending before collecting ideas. Then choose three things that matter most to your occasion, such as food, a meaningful venue or reliable sound. These priorities will help when you need to choose between options.

Decide who can approve an expense and where every commitment will be recorded. A shared spreadsheet is enough to begin. The important part is keeping one current record rather than separate lists on several phones.

Build categories around the actual event

List the costs your event will create rather than copying a generic budget without checking it. A home gathering may need furniture and transport; a conference may need microphones and speaker travel. Include setup and cleanup as well as the time guests spend with you.

Ask suppliers to state what their quote includes. Delivery, service, equipment, overtime or other charges can change the total. Record a quote as an estimate until its scope and price are confirmed.

  • Venue, furniture and setup.
  • Food, drinks and service.
  • Decorations, invitations and signage.
  • Sound, lighting or presentation equipment.
  • Transport, accommodation and practical support.
  • A reserve for changes you cannot yet specify.

Track commitments as well as payments

A deposit is only part of a cost. For each supplier, keep the estimate, agreed total, amount paid, remaining balance and due date in separate columns. This lets you see both what the event will cost and what must be paid next.

For example, if a service costs LKR 60,000 and you have paid a LKR 15,000 deposit, the committed cost remains LKR 60,000. The outstanding balance is LKR 45,000. Counting only the deposit would hide most of the commitment.

Revisit costs when the headcount changes

Separate fixed costs from costs that change with attendance. A room hire may stay the same while meals, chairs or transport increase with each person. Ask about minimum numbers and the deadline for changes before confirming a supplier.

Use your expected-people total, not the number of invitations, for per-person estimates. Keep an unanswered group visible so you can see the possible range without pretending those guests have confirmed.

Review the plan before adding something new

When a new idea appears, update the forecast before saying yes. Decide whether it fits inside the reserve, replaces another item or needs the overall limit to change. Record the decision so everyone organising the event is working from the same plan.

Magenda’s Full event Budget app keeps the overall spending limit, expenses, vendors, amounts paid and payment due dates in one place. Use the remaining-budget and outstanding-payment totals to review commitments before adding another expense.
