Planning essentials

Start with the people and the purpose

Before choosing a colour palette or booking entertainment, write one sentence about the occasion. A small family lunch, a wedding reception and a community workshop ask different things of the space, programme and host. Decide what you want people to feel or take away.

Make a first guest list and distinguish households from people. Ten invitations can represent considerably more than ten seats. Use an estimated headcount to narrow the venue search, then confirm the actual capacity before sending invitations.

  • Define the occasion and who it is for.
  • Choose a target date and a backup date.
  • Set a spending limit and an initial headcount.
  • Identify the person who makes the final decisions.

Secure the details that everything else depends on

Confirm the venue, date and any essential suppliers before making promises to guests. Ask what is included, when you can set up, when you must leave, and what happens if plans change. Keep these answers with the booking confirmation.

For outdoor occasions, decide the rain plan now. For a venue with steps, limited parking or a long walk from the entrance, tell guests what to expect and arrange an alternative where needed.

  • Confirm venue access, capacity and setup times.
  • Record supplier contacts and payment dates.
  • Plan transport, accessibility and weather contingencies.

Give guests enough information to answer

Your invitation should state who is hosting, what is happening, where and when it takes place, and when you need a reply. Be explicit about whether a partner or children are included. Set your response deadline before your supplier headcount deadline, leaving time to follow up.

Keep one response record. If someone replies in a conversation, reconcile that answer with your guest list so that it is not counted twice. Unanswered invitations are still unanswered; avoid treating them as confirmed attendance.

Create a programme with breathing room

Build the schedule around the moments that cannot move: venue access, a ceremony, a speaker or a meal service. Add time for arrivals and transitions. Guests need a clear programme; suppliers and helpers may need a more detailed running order.

Assign one person to each practical handoff, such as welcoming guests or checking that the next speaker is ready. Share the latest schedule before the day, and choose one contact for last-minute changes.

Make the final check small and useful

A day or two before the event, confirm the headcount, supplier arrival times, directions and backup plan. Put essentials together: contact details, a copy of the programme and anything you need at the entrance.

Afterwards, thank the people who helped and make a short note of what you would repeat or change. In Magenda, begin with a digital invitation, personal guest links, responses and a shared programme. An active Full event adds tasks, budget tracking, notes and team access so the preparations stay together.
